All-in-One vs Point Solutions for Events

You can run an event on five specialist tools or on one platform. Both work. The choice is usually made by accident — the registration tool was chosen first and everything else assembled around it.

What point solutions genuinely give you

  • The best tool in each category, if you know which that is.
  • Independent replacement — swap the survey tool without touching registration.
  • Often cheaper individually, especially at small scale.

What they cost you

  • Reconciliation. The attendee list exists in four places and is correct in one. Every agenda change happens three times.
  • Integration work, which is never finished and breaks when one vendor changes an API.
  • Reporting. "Which sessions did people who bought a premium ticket attend?" needs data from three systems and an afternoon.
  • Staff time, which is the real bill and never appears in the comparison spreadsheet.
  • Data protection surface. Five processors, five contracts, five breach exposures — see event data and GDPR.

What an all-in-one gives you

  • One attendee record that registration, check-in, sessions and reporting all read.
  • Cross-cutting answers immediately, because the data never left.
  • One contract, one support number on the day, one place your team learns.
  • Access rules that follow the ticket, without you wiring them up.

And what it costs you

  • Some module will be weaker than the specialist you would have chosen.
  • Switching is a bigger decision — see migrating platforms.
  • You pay for parts you do not use.

A reasonable rule

  • Under 100 attendees, one track, free tickets: point solutions are fine. The reconciliation cost is an hour.
  • 100–1,000, paid, multi-track: all-in-one, almost always. This is where reconciliation becomes a part-time job.
  • Over 1,000, or a specialist need (scientific peer review, complex accreditation): an all-in-one core plus one or two specialists at the edges, integrated deliberately.

The question that decides it

How many times, this year, will you have to answer a question that spans two tools? If the answer is "weekly", the integration cost is already being paid — in someone's afternoon, every week, without appearing on any invoice.

Gathervo is the all-in-one option, with exports and an API at the edges for the specialists you keep. See the plans, or read how to choose a platform.
